Your systems already have the data. All that is missing is them talking to each other

We connect the store, the invoicing, the ERP and the CRM into one automated flow, with no copy and paste, no invoices arriving late in the SPV portal and no leads lost in a spreadsheet.

  • Someone on the team loses 2 to 3 hours a day copying data from one system into another
  • You are worried about a notice from the tax authority because invoices do not always reach the SPV portal in time
  • You have a chatbot or a form, but a human still answers the same 10 questions by hand

01 · What it costs you today

  • You are risking a fine for invoices sent in late

From 2026, the submission deadline for the SPV portal is 5 working days, with a 15% penalty on the invoice value in B2B for anyone who misses it. Without an automated flow, you are playing roulette with that deadline.

  • Hours lost every day to copy and paste

Orders from the store into the invoicing software, leads from the form into a spreadsheet, then into the CRM. At ten operations a day it is annoying, at a hundred it is an unpaid full-time job.

  • Stock between the store and the ERP drifts out of sync

Updating by hand, once a day, means you sell products that are no longer in stock, with returns and marketplace penalties to follow.

  • The automation you set up two years ago no longer adds up

You tried Zapier, but at your current volume the monthly bill exploded. The wrong platform for your volume wastes money over the long run.

02 · What you get

  • Synchronisation between the systems you already use

Store with invoicing, CRM with ERP, form with database, booking platform with calendar. We do not build a new system, we make what you already have talk.

  • Automated invoicing, connected to e-Factura

Every order or payment generates the correct invoice and submits it properly to the SPV portal, with an alert before the legal deadline expires.

  • Shipping labels generated automatically from the order

No manual re-entry of the address, so no returns caused by a mistyped line.

  • A chatbot anchored in the company's real information

Not generic AI that guesses. A curated knowledge base brings the hallucination rate down to 0.7% to 1.5%, with clear escalation to a human wherever the decision carries financial risk.

  • A platform chosen on your real 2 year cost

n8n, Make, Zapier or Power Automate, recommended on volume and data control needs, not on whichever name is best known.

  • Full documentation at handover

The flow diagram, the credentials, the maintenance plan. You do not stay dependent on the one person who knows what is behind it.

03 · How we work

  1. 01

    Process audit

2 to 4 days. We map what happens now, where time is lost, where errors appear and what your systems expose as an API.

  2. 02

    Platform selection

1 to 2 days. A recommendation driven by the cost over 12 to 24 months, not by the list price of whichever platform is fashionable.

  3. 03

    Build and testing

We build the flow and test it with real data and edge cases, not only the ideal scenario, which is where most hastily built automations fail.

  4. 04

    Handover and maintenance

Full documentation, plus active monitoring for the moment an external API changes and the flow needs adjusting.

04 · Results

  • 6 systemsKJ Center

Integrated into a single flow with ANAF, e-Factura, e-Transport, Revisal, Saga and FiscalNet, plus the bank POS.

These are the figures reported by the clients themselves, for their own accounts, over the periods shown. We do not turn them into derived percentages and we do not present them as reproducible.

05 · What people usually ask us

“It is expensive.”
We compare the cost with what you already pay: hours of manual work multiplied by the real hourly cost, plus the risk of a fine or an error. At volumes above 50 to 100 operations a month, automation pays for itself in 2 to 4 months.
“I tried it before and it did not work.”
A previous failure usually has one of three causes: the process itself was unclear and unstable, the platform did not match the volume, or there was no maintenance after delivery. We run the process audit precisely so we do not repeat the mistake.
“I do not trust AI with this.”
Fair, for AI with no controls. That is why we anchor every chatbot in the company's real knowledge base and explicitly exclude risky decisions, price, account, disputes, with clear escalation to a human.

06 · Frequently asked questions

How much does an automation cost?
From 200 to 500 EUR for a simple flow, up to 1,500 to 3,000+ EUR for complex integrations with conditional logic. We set the exact figure after the process audit.
How long does implementation take?
A single automation, 1 to 2 weeks. An invoicing integration or an operational AI project, 2 to 4 weeks.
Does automation help us meet the new e-Factura rules?
Yes, the invoicing flow can include automatic submission to the SPV portal, with an alert before the 5 working day deadline expires.
Can the AI make decisions on its own, prices, returns, customer accounts?
We do not recommend that. We explicitly exclude decisions with financial or contractual risk, with mandatory escalation to a human.
What happens if we drop your maintenance?
We hand over full documentation and all the credentials. The flow stays working and transferable to any other technical team.
