Luxeria
a custom website, phone system and CRM working as one
1. The client
Luxeria (luxeria.ro) is a Romanian made-to-order furniture brand, with a workshop and showroom in Alexandria, Teleorman county [1]. The range covers bedroom furniture (upholstered beds, wardrobes, walk-in closets, nightstands, dressers), living rooms, standard and modular kitchens, children’s furniture, and decorative and acoustic wood slat panels [1]. Alongside the standard catalogue, Luxeria offers customisation services, designers and joiners who build pieces to measure, plus “VIP” delivery and assembly at the customer’s home [1].
It is a different business profile from a classic online shop: the core product is not a box lifted off a shelf, it is a piece of furniture designed for a specific space, with dimensions, materials and timelines discussed directly with the customer. The brand’s positioning supports exactly that; the emphasis on designer consultation, scheduled workshop visits and “VIP” delivery with assembly points to a consultative sale, not a quick add-to-cart transaction.
2. The challenge
Custom furniture is not bought in one click. The customer calls, describes the space they want to furnish, discusses material and finish options, sometimes books a workshop visit, receives a quote, follows the progress of an order in production and, at the end, coordinates delivery and assembly. It is a long sales cycle, with several phone touchpoints across the same order, not a single isolated call.
In a flow like that, if telephony and customer records (CRM) run separately, every call starts from zero: the agent picking up does not automatically know who is calling, what the customer discussed on the previous call, or what stage their order is at. Commercially, that means slower response times, customers repeating the same information from scratch every time they call, and, most expensive of all, interested callers who end up recorded nowhere if the conversation does not close immediately with a firm order.
How much speed and context matter in a response is documented as a general market trend, not as something specific to Luxeria: a lead contacted within the first 5 minutes is around 21 times more likely to be qualified as a real opportunity than one where the response takes longer than 10 minutes [2]. For a business that sells high value products with a long decision cycle over the phone, every minute in which a customer calls and does not reach someone who already knows their context is a minute in which they might call somewhere else.
3. What we built
We built a custom website for Luxeria, a phone system and a bespoke CRM, integrated with each other. The technical stakes of the project sit exactly in the link between telephony and CRM: the two systems do not run as separate tools, they talk to each other, so information about a customer flows between the phone channel and the rest of the commercial record.
As a domain benchmark rather than an exhaustive description of the implementation, an integration of this type usually involves a few concrete mechanisms: automatic caller identification in the CRM on every incoming call, so the agent sees the customer’s history before answering; automatic logging of the call as an activity on the customer record, with no manual note afterwards; and the ability to route a call to the agent who has already spoken with that customer, for continuity on an order in progress. On top of that core, the custom website serves as the digital channel through which a customer can make first contact or research the product range, without depending on the phone for every step of the process.
The difficulty is not obvious at first glance to someone outside the field, precisely because phone systems and CRMs have existed separately, as standalone products, for many years. What takes real effort is the link between them: correctly syncing telephony events (incoming call, missed call, duration, transfer) with the business objects in a CRM built around Luxeria’s sales flow, order, quote, production stage, so that the two systems tell the same story about each customer rather than parallel stories that have to be reconciled by hand.
4. Why it matters
For a business that takes a significant share of its orders by phone, every call is a commercial opportunity with context, not an anonymous interaction. An agent who immediately sees the customer’s history responds faster and more relevantly, and a custom furniture order, with a long cycle between the first conversation and delivery, no longer depends on the individual memory of whoever first picked up the phone. Centralising the information reduces the risk that a genuine buying interest gets lost between one call and the next, in exactly the product segment, made-to-order furniture, where the value of an individual order is high and the decision cycle is long.
