Case study

KJ Center

an ERP, POS, accounting and HR platform integrated with the state

1. The client

KJ Center is a shop specialised in Asian products, mainly Korean and Japanese, based in Bucharest. The company behind it, M & J Food Expert SRL, was founded in 2022 as a family business, starting from a small shop near the Sector 1 town hall [1] [2]. Since then, KJ Center has grown to two physical stores in Bucharest (Banu Manta and Ion Ghica) and an online shop, with a catalogue of more than 2,500 items: Asian food and drinks, K-Beauty cosmetics and K-Pop cultural products (albums, merchandise) [1] [2].

It is a client profile that matters for the technical stakes of the project: multi-location retail, a large number of stock references, simultaneous selling through physical and online channels, and the standard tax obligations of any Romanian trading company, but multiplied across several points of sale.

2. The challenge

A retailer with several physical stores and an online shop normally runs several separate systems: the tills at each location, a stock management program, accounting software, personnel records and, on top of all that, reporting obligations toward the state. As long as those systems do not talk to each other, every sale, every hire, every goods shipment means repeatedly keying the same data into different places, with the risk that the stock shown online does not reflect what is actually left in the store, that an invoice reaches accounting late, or that a reporting deadline toward a state institution is simply missed because nobody was notified in time.

For a shop with more than 2,500 items in stock and three points of sale, the risk is not hypothetical, it is a direct function of volume. The more transactions and the more locations, the higher the cost of managing them separately and the greater the chance that a sync error reaches a customer or a tax inspection.

3. What we built

We built a custom platform that unifies ERP (stock management and operations), POS (checkout across all locations), accounting and HR in a single system, integrated with seven external touchpoints: ANAF (the Romanian tax authority), e-Factura, e-Transport, Revisal, Saga, FiscalNet and bank POS terminals.

Each of these integrations has its own domain complexity, independent of any particular implementation, and they are worth explaining as such, so the real difficulty of the project is visible:

  • e-Factura is the Romanian national electronic invoicing system, operated through ANAF’s Virtual Private Space (SPV). Sending invoices through the system became mandatory for B2B transactions in July 2024, and from January 2025 it extended to B2C as well, exactly the selling profile of a shop like KJ Center [3] [4]. The legal deadline for transmission is 5 working days from issuing the invoice, and missing it draws fines between 1,000 and 10,000 lei, depending on the size of the company [3] [4]. A direct integration with the ANAF API generally involves OAuth2 authentication with a qualified digital certificate, generating and validating invoices in a standardised XML format (UBL 2.1), and handling automatic renewal of access tokens; it is not a matter of emailing a PDF attachment.
  • RO e-Transport is the system through which ANAF and the Romanian Customs Authority monitor road transport of goods with high tax risk, via a unique identification code (UIT) generated before each declared shipment and GPS tracking along the way [5]. For a shop importing food products from Asia, correctly checking the tax risk categories and declaring the relevant shipments on time is a compliance requirement, not an optional detail.
  • Revisal is the General Register of Employee Records, run by the Romanian Labour Inspectorate, a legal obligation for every employer in Romania, recently updated by the move to the REGES-ONLINE platform [6]. For a company with staff across several stores, keeping that register up to date by hand, in parallel with an internal HR module, doubles the administrative work every time there is a hire, a contract change or a termination.
  • Saga is, by market share, the most widely used accounting software in Romania [7]. Integrating with it typically means automatically passing issued and received invoices, payments and stock movements through to accounting, so that the books reflect the real operation without re-entering documents by hand.
  • FiscalNet, in the context of a retail POS, is a universal driver that connects cash registers and fiscal printers to the sales software [8], the technical piece that makes each checkout transaction produce the fiscal receipt required by law, regardless of which manufacturer’s fiscal hardware sits in each store.
  • Bank POS means integrating card payment terminals directly into the sales flow, so a card payment reconciles automatically with the rest of the transaction rather than separately.

The real difficulty of this kind of project lies in none of the integrations taken alone, but in the fact that each comes with its own protocol, its own data format, its own legal deadlines and its own penalties, and a system that ties them all together has to behave correctly even when one of them changes its rules (as happened, for instance, with the extension of e-Factura to B2C or with the introduction of REGES-ONLINE). Anyone who works in software integration recognises the stakes immediately: this is not about building an ERP, it is about building one that holds up at the intersection of six or seven external systems that were never designed to talk to each other.

4. Why it matters

For KJ Center, a unified platform means that a sale through any of the three channels (the two physical stores and the online shop) updates stock, generates the required fiscal documents and reaches accounting without manual steps repeated at each touchpoint. In the same way, managing staff across several locations no longer means keeping an internal register and Revisal as two separate procedures. The result is less data entry work and a structurally lower risk of error or of missing tax reporting deadlines; not a business figure, which the project notes do not mention, but a fundamental change in how a retailer with several points of sale operates.

5. Services involved

  • Custom web apps, the ERP + POS + accounting + HR platform built from scratch for the specific flow of a multi-location retailer.
  • Automation & API integrations, connecting the central system with ANAF, e-Factura, e-Transport, Revisal, Saga, FiscalNet and bank POS terminals.
  • Performance, security & maintenance, a system tied to tax obligations and daily selling cannot afford downtime or security breaches.
